Contract type: Permanent, Part Time (4 days per week)
Location: Newcastle with 4 days a week required in the office.
Salary: £25,747 – £30,786 per annum (pro-rata to FTE £28,962 – £34,650), 32 hours per week, 4 days
Salary will be paid pro-rata to the full-time equivalent, depending on experience and point on the scale.

About the job
The post-holder is responsible for co-ordinating Digital Services administration (DS) activities throughout the department, along with having a site presence in the Newcastle office and managing local resources as applicable.
They will report to the DS Business & Commercial Manager.
The post includes responsibility for:
•Providing efficient support to colleagues and managers within the Department by delivering a comprehensive, high quality administrative service that will enable the team to perform their role effectively and maximise their time efficiently.
•Manage and prioritise multiple tasks effectively in a fast-paced and changing environment.
•Provide local IT troubleshooting support on an ad hoc basis (rare out of hours maybe be required)
•Maintain accurate digital records and filing systems.
•Support operational teams with administrative tasks and coordination.
•Communicate clearly with both technical and non-technical staff.
There will be no formal line management responsibilities but there will be from time to time, management or oversight of engineers, contractors or suppliers delivering a DS service.

Job responsibilities
The post-holder will be responsible for overseeing DS administration and operations activities within the Newcastle office and will ideally be attending the office during normal working hours - The role will consist of:
DS Newcastle Operations (30%)
•Local IT asset management and IT asset allocation, stock levels, replenishment, audits etc. ensuring the accuracy of the ServiceNow configuration management database for Newcastle based assets.
•Managing the purchase of home working equipment requested by staff via ServiceNow
•Coordination of local joiners, leavers, movers where a DS service or asset is involved
•Performing local digital activities requiring low level technical competence
•Overseeing and coordinating the activities of more technical engineers, either from NAO Digital Services, XMA or other suppliers
•Local event management in the context of DS service provision (eg. meeting rooms etc.)
•Ensuring that equipment and devices being despatched to and from the Newcastle office to various destinations, including the NAO London office.
•Administer deployment of IT assets with Newcastle leavers and joiners and update systems accordingly.
•Working closely with the DS Service Management, XMA and wider NAO DS Operations teams as the Newcastle office point of contact for all relevant Newcastle incidents, events and developments which have some form of associated DS service provision
•Ensuring sufficient IT assets and consumables are available to NAO Newcastle staff, either within local storage or via transport from the NAO London office or direct from suppliers. Ongoing maintenance of the above during the project for tracking and reporting purposes.
Wider DS Administration (70%)
•Oversee shared departmental mailboxes and effectively maintain up-to-date contact lists and have overarching responsibility for the management of Commercial based contacts.
•Provide file management to the department across a wide variety of Microsoft systems ensuring all documents are uploaded- reviewed and maintained in line with departmental policy. Produce reporting to the Commercial manager to highlight gaps and work collaboratively with the team to rectify.
•To own the internal and employee site/s containing departmental policies and procedures; ensuring they are updated- always maintained and kept relevant. Identify gaps and if Policy and Procedures are absent work with department teams to create them.
•The post holder is required to switch concentration between several different information systems and ensure they are kept updates included but not limited to SharePoint- Teams channels- DevOps, ServiceNow and Certinia.
•Oversee the Digital Services SharePoint and employee facing site ensuring it is organised and updated
•Oversee the management of Service Desk tickets for the Commercial Team ensuring they are assigned correctly to team members and updated in line with company procedure.
•Work collaboratively with contracts managers to ensure KPIs/SLAs and other records are kept updated.
•Managing the purchase of homeworking equipment requested by staff via Service Now system.
•Apply continuous improvement to all local processes and activities considering where things can be optimised, or made more efficient or have innovative approaches applied.
•Provide administration for internal meetings including book of meeting rooms- scheduling and updating relevant teams
•Own the administration of a collection of Senior Leadership Team documents ensuring they are kept accurate and up-to-date
•Work with department and project leads to collate data to ensure monthly reports are compiled successfully and on time.
